The Why of Organization
Not sure if your small businesses needs this? Read on...
Do you think your business is too small for a consultant?
-or that your processes are straight-forward and can't see the value of an in-depth analysis?
Maybe you employ only a handful of people and think they're getting the job done just fine.
You may be thinking your business runs fine but ask yourself this - does it run without you?
Do you take vacations without worrying that something won't go wrong, so you stick by your phone the entire time. Or worse - never step away?
Have you noticed a drop off in your leads or clients that aren't coming back regularly (or not at all)?
Do you have operations running well, but have no idea how to take the next step to expand?
Without a clear view of your organization and all of the parts that work together, any changes are just based on guess-work, not facts. Your business, no matter how small, should have systems in place that allow you to focus on what you're best at - your service, your product, and your life balance.
What's the difference between process mapping, workflows, and SOPs? Aren't they all the same?
The quick answer? Not at all. They are three separate pieces of the puzzle that is your busines.
Process Mapping is a visualization of a high-level business workflow. It defines “What We Do” in your business. This can be created using different techniques, such as using flowcharts, diagrams, or Gantt charts. It’s a way to bring definition and clarity to your workflow from start to finish, identifying roles, responsibilities, decision points, and information pathways along the way.
Workflows are a visualization of each piece of a process. It's the "How It Gets Done" in your business. In other words, it breaks the big picture down so that you can understand what needs to happen to provide that service, or make that sale.
Standard Operating Procedures, or SOP's, are the detailed set of instructions that answers the "How we do it" for your business. These are the instructions that your employees need to understand their role and responsibilities for a task.
Combined together, these create an operations manual that can be used in training, delegating, auditing, and improving every aspect of your business.
the bottom line...
Using these organizational tools will provide immediate benefit for your business by creating opportunities to:
-Enhance efficiency by identifying redundant steps.
-Improve quality of customer interactions by identifying missed opportunities and correcting breakdowns.
-Manage risks by identifying potential failure points and compliance issues before they become problems.
-Become a starting point for innovation, by showing you areas of potential improvement that your less-organized competition hasn't thought of yet.
